Privacy Policy

This Privacy Policy explains how Cedalion collects, uses, stores and protects personal information when you use our website, request a free trial or contact us.

Last updated: 24 August 2026

1. Who we are

This website and the Cedalion services are operated by Cedalion UK, trading as Cedalion ("we", "us" or "our").

Our registered address is Stockport, England. You can contact us about privacy or data protection at CedalionUK@gmail.com.

For UK data protection purposes, we are the controller of the personal information described in this policy, unless we expressly state otherwise.

2. What information we collect

  • Contact details: email address and/or phone number.
  • Trial information: information provided when requesting or discussing a free trial.
  • Marketing preferences: whether you opted in to marketing and, where recorded, when that preference was given.
  • Communications: information you provide when contacting us.
  • Technical information: information generated through use of the website, such as browser, device, IP address and basic usage information, where applicable.

3. How we use your information

  • respond to free-trial requests and enquiries;
  • contact you about your trial or enquiry;
  • provide, maintain and improve our services;
  • manage customer and prospective-customer relationships;
  • send necessary service-related communications;
  • send marketing where we have a lawful basis and, where required, valid consent;
  • maintain records of marketing preferences and consent;
  • protect our website, systems and users from fraud, abuse and security threats; and
  • comply with legal and regulatory obligations.

4. Lawful bases

Depending on the circumstances, we may rely on contract or steps at your request for trial requests; legitimate interests for necessary business, security and service operations; consent for processing where consent is required; and legal obligation where processing is required by law.

5. Free-trial requests

Our free-trial form allows you to provide either an email address or phone number. We use the contact detail provided to respond to your request and discuss or arrange the trial.

Providing a contact detail for a trial request is not the same as consenting to marketing. Where we ask for marketing consent, that choice is separate from the trial request.

6. Marketing

If you choose to receive marketing, we may use the contact information you provided for the communication methods covered by your consent. We do not treat an unchecked marketing box as consent.

You can withdraw marketing consent at any time using an unsubscribe option in a marketing message or by contacting us.

Marketing: Cedalion should only send marketing by email, text or other electronic communications where the applicable UK PECR and data-protection requirements are satisfied. Marketing preferences should be recorded so they can be respected.

7. Who we share information with

We may share personal information with service providers that help us operate Cedalion, including hosting, website infrastructure, communications, customer-management, analytics, security and storage providers. Where providers process information for us, we expect appropriate contractual and security safeguards.

We may also disclose information where required by law, to protect our rights, prevent fraud or abuse, or in connection with a business transaction such as a merger, acquisition or sale of assets.

8. Google Sheets and Google Apps Script

Information submitted through our free-trial form may be transmitted to a Google Apps Script endpoint and stored in a private Google Sheet used by Cedalion to manage leads and trial requests.

Access to the underlying spreadsheet should be restricted to authorised Cedalion personnel and accounts. The public website does not intentionally expose the spreadsheet itself.

Google may process information as a separate service provider. Its own terms and privacy information may also apply to its processing.

9. International transfers

Some service providers may process personal information outside the UK. Where personal information is transferred internationally, we will use an appropriate lawful transfer mechanism and safeguards where required.

The specific providers and transfer mechanisms used by Cedalion should be confirmed before publication.

10. How long we keep information

We keep personal information only for as long as reasonably necessary for the purposes described in this policy, including managing trial requests, maintaining appropriate records, resolving disputes and complying with legal obligations.

Our retention period for free-trial leads is 14 days. Marketing preference records may be retained longer where necessary to demonstrate compliance and respect an individual's decision not to receive marketing.

When information is no longer required, we will securely delete it or anonymise it where appropriate.

11. Security

We use reasonable technical and organisational measures designed to protect personal information against unauthorised access, accidental loss, alteration, disclosure or destruction. Access to lead information should be limited to people who need it for their role. No internet transmission or storage system can be guaranteed completely secure.

12. Your rights

Subject to applicable conditions and exemptions, you may have rights including:

  • to be informed about how your personal information is used;
  • to request access to your personal information;
  • to request correction of inaccurate or incomplete information;
  • to request erasure in certain circumstances;
  • to request restriction of processing in certain circumstances;
  • to object to certain processing, including direct marketing;
  • to data portability in certain circumstances; and
  • where processing is based on consent, to withdraw that consent.

To exercise a right, contact CedalionUK@gmail.com. We may need to verify your identity before completing a request.

13. Direct marketing objections

You have an absolute right to object to the processing of your personal information for direct marketing purposes. If you object, we will stop using your information for direct marketing, subject to applicable legal requirements.

14. Cookies and similar technologies

Our website may use cookies or similar technologies. The technologies actually used by the live website should be documented here or in a separate Cookie Policy, including their purposes, providers and applicable consent requirements.

Before publishing: confirm whether the Cedalion website uses analytics, advertising, embedded content or other non-essential cookies and update this section accordingly.

15. Children

Cedalion is intended for businesses and business users and is not directed at children. We do not knowingly collect personal information from children for the purpose of providing our business services.

16. Changes to this policy

We may update this Privacy Policy to reflect changes to our services, technology, legal requirements or processing activities. We will publish the updated version on this page and update the "Last updated" date.

17. Complaints

If you have concerns about how we handle your personal information, please contact us first so we can try to resolve the issue.

You also have the right to complain to the UK's data protection regulator, the Information Commissioner's Office (ICO).
